VIRTUAL LANGUAGE AND COMMUNICATION POSTGRADUATE INTERNATIONAL SEMINAR 2022 (VLCPIS2022)

VLCPIS 2022 Presentation Mode

Dear VLCPIS presenters,

Note: The following are important guidelines of VLCPIS 2022 presenters for the recorded presentation submission. Please read it carefully.

A. General Important Guidelines

1. Please be informed that the virtual platform used for VLCPIS 2022 is WebEx. Please make sure you are able to access WebEx to participate in the seminar.

2. Due to the online nature of the seminar, the paper presenters are given two options for their presentation mode:

a) do live presentation during the actual day (using WebEx), or
b) submit a pre-recorded video of their presentation. The video will be played during the presenter’s session.

*Please fill in this “Google Form” to identify your presentation mode. If you choose “pre-recorded video”, you need to upload your video to “Recorded PowerPoint Presentation Submission” in Google Form.

3. As the seminar is around the corner, the presentation schedule for all presenters will be updated on the conference page. Kindly check the time and slot that you will be involved as well as the WebEx link for joining the seminar. Please note that the schedule for paper presentations is final, but it may be subject to changes for administrative reasons. Also, due to the large number of papers, we are unable to accept requests for the change of presentation
slots.

4. Every presenter will be given a total of 15 minutes for the session, which includes 10 minutes for the presentation and another 5 minutes for Q&A. Make sure to stick to the 15-minute time limit. This is necessary to ensure that all the parallel sessions run smoothly. The pre-recorded video presentation must be continuous, with no video edits and/or breaks except when forming the video’s beginning and ending. Except for the beginning and end of the video, the pre-recorded video presentation must be continuous with no video cuts or breaks.

B. The Pre-recorded Video Presentation Technical Guidelines

1. If you choose the pre-recorded video mode, please make sure your video resolution is high definition (720p) with 30 FPS minimum. Please avoid using high-bandwidth applications to create your videos.

2. The video requires to capture you as you present your slides, with your face in a smaller image in the video. Make use of the numerous video-making applications and tools available, or consider someone to assist you.

3. Set the slide and video to 16:9 widescreen and save the video as an mp4 file.

4. Please make sure the title of your paper, authors’ names, affiliation, and your photo must all appear on the first page of your slide presentation.

5. NO background music is allowed unless it is part of your actual study.

6. Presentations can be given in English or Malay, depending on your abstract/study.

7. The length of your videos must strictly follow the 15 minutes time limit or can be less.

8. After the pre-recorded video is played, the presenters will continue with the Q and A session according the presentation schedule (refer to C (ii)).

C. The WebEx Platform (For Live Presentation and Q&A Session)

1. All presenters must be signed in to the WebEx platform at least 10 minutes before the presentation begins, as stated in the Presentation Schedule.

2. To avoid disruptions during the session, you are required to have WebEx installed on your device and make sure that it is the latest version. This is also to better enable you to use more WebEx features.

3. Please indicate your identity during the WebEx session in the format of “Paper ID No |Full Name”. For example, 101 | Aliyyah Smith.

4. The Paper ID number is the ID number of your paper that you submitted to the submission system.

5. Please do not apply a professional virtual background for your presentation.

6. Please ensure you ‘Save As’ the video using this title: Paper ID No and Full Name.

(i) Live Presentation

1. All presenters are given 10 minutes only for the presentation. The presenters need to prepare the slides for the live presentation.

2. Please join the WebEx early, as stated in the Presentation Schedule.

3. During the presentation, the presenters need to use “share” function in WebEx to share the slide.

4. The moderator will stop the presenters when the time is up (Max 10 minutes).

5. After the live presentation, the presenter will continue with the Q and A session according the presentation schedule (refer to C (ii)).

(ii) The Q&A Session

1. After your video presentation (either Live Presentation or Pre-recorded video) is done, you will be invited to answer questions live from the floor. So, you will still be required to be in your own ‘session’.

2. Viewers in the session will ask questions either directly or through the chat function.

3. The Q&A session will be live and moderated by the moderator, so please ensure that you have a stable internet connection and that your camera is turned on during this session.

4. Those who FAIL to attend the Q&A session WILL NOT receive the presentation certificate.
